What must be captured on site before overseas suppliers can prepare reliable drawings and quotations for custom products?
Context
The residence did not have a reliable ready-to-use floor plan, the buyer was visiting Foshan, and access still had to be coordinated with people at the property. The project covered custom joinery, appliances, furniture, lighting, windows, finishes, and related materials, so product decisions could not safely rely on unstructured photos or assumed dimensions.
The specific problem
Photos can show style and condition, but they rarely prove opening sizes, ceiling levels, beams, columns, floor build-up, service points, access, or the relationship between adjacent surfaces. If those items are mixed with assumptions, a supplier may quote or draw against the wrong version of the site.
Our diagnosis
The immediate need was not simply more measurements. It was one controlled field record that separated four different things: client-confirmed requirements, visible site conditions, dimensions captured on site, and items still requiring local professional approval.
How we handled it
1. Inventory the available evidence
We organized 21 site photos, three zone walkthrough videos, and one source structural DWG. Each record was treated according to what it could prove; a photo, a walkthrough, and a source drawing do not carry the same authority.
2. Build a room-by-room measurement brief
The field brief covered access, room scope, door and window openings, ceiling heights, beams, columns, kitchen and bathroom conditions, visible service points, floor and wall references, and a required photo index. This made the task usable for the local site team rather than relying on a general request to 'measure everything'.
3. Capture context around every dimension
A dimension without orientation or a supporting photo is easy to misread. The record linked measurements to room names, opening direction, adjacent surfaces, and multi-angle images so designers and suppliers could understand where each number belonged.
4. Deliver more than one flattened drawing
The field return included 21 photos, three zone walkthrough videos, a dimensioned floor-plan PDF, editable DWG and SKP files, handwritten site notes, and a site plan. The formats were organized for the client, designers, and China-side suppliers, while open questions stayed visible instead of being filled with guesses.
5. Make the design team challenge suspicious dimensions
After handoff, the China-side design team noticed that two window dimensions appeared to be reversed. The site team was asked to check the openings again and returned sill and opening-height information with an explanation of the site obstruction. The record remained open to correction rather than being treated as automatically final.

The project obtained a usable multi-format field record instead of a loose folder of photos and numbers. The later window query also demonstrated why measurement handoff needs review and correction before production, even when a formal-looking drawing has already been delivered.
